When a custom POS is the better choice

Tepia sees four triggers that justify a custom build, and usually a business needs at least two of them before the math works.

  • Workflow fit. Your checkout is not a simple ring and tender.
  • Fee economics at volume. Processing fees continue with any option, but Square’s per location subscriptions, add on modules and the premium on its standard rate add up across many locations.
  • Data ownership and integration. You want transaction, inventory and customer data in your own PostgreSQL database, synced to your ERP, CRM or loyalty app in real time, with no export limits and no dependence on a vendor’s API terms.
  • Differentiation. The POS is part of the customer experience: a clienteling tablet, a self checkout kiosk, an order ahead app and a counter POS that share one cart, or a loyalty program that is core to the brand.

How Tepia approaches a custom POS build

Tepia follows its six phase process on every POS project, with PCI scoping handled up front so that card data never touches your custom software.

  1. Discovery. Tepia observes checkout at your locations, interviews cashiers and managers, and reviews your processor, inventory and accounting integrations. You receive an Investigation Summary, Interview Summary and User Stories, plus a PCI scope statement showing which components are in scope (the terminal and processor) and which are out (your app, because it only handles tokens).
  2. Design. Design questionnaire, moodboards and a style guide, then detailed wireframes of every checkout screen, including the edge cases: split tender, voids, returns without receipt, offline mode.
  3. Development and Testing. Tepia builds the counter app (often on iPad with Swift, or Android with Kotlin for rugged devices), integrates Square Terminal or Stripe Terminal SDKs, builds the admin portal in React and the backend in Node.js or .NET with PostgreSQL. Alpha and Beta schedules include functional, user acceptance and non functional tests such as offline queueing and end of day reconciliation.
  4. Training. In person sessions at a pilot location, then remote sessions for the rest, built around user story scenarios cashiers actually face.
  5. Launch. Product catalog and customer data migration from Square, a pilot store first, then a staged rollout with Tepia support reps on site or on call.

A middle path: keep Square, add custom software around it

Many Tepia clients do not need to replace Square. They need custom software that talks to it. Square’s APIs expose catalog, orders, customers, inventory and payments, and Tepia builds order ahead apps, loyalty apps, kitchen displays and inventory tools that use Square as the system of record.

Tepia recommends this path when your checkout works but your customer experience or back office does not. It is also a sensible first step: if you later outgrow Square entirely, the custom surfaces carry over and only the counter app changes.
