Bookkeeper Approved
Tepia maps every item, tax code, class and location to QuickBooks accounts with your bookkeeper before a single transaction posts.
Read: ERP Integration ServicesTepia builds QuickBooks integrations that post sales, payments, customers and job data from your apps, online store or field software into QuickBooks Online through the Intuit API, or into QuickBooks Desktop through the Web Connector. Every integration starts with an account mapping your bookkeeper signs off on before anything posts.
A QuickBooks integration succeeds when your bookkeeper trusts it, which means clean customers, correct accounts and nothing posted twice.

Payment and integration figures Tepia designs around when building QuickBooks Online integrations.
The Federal Reserve found credit and debit cards made up about 65 percent of US consumer payments in 2024, each one a record to reconcile.
The Federal Reserve reports 23 percent of consumer purchases were made remotely in 2024, so online sales must post to the books cleanly.
MuleSoft's 2025 Connectivity Benchmark found IT teams spend about 39 percent of their time creating custom integrations and automations.
QuickBooks is where most small and mid sized companies keep their books, but the sales happen elsewhere: a custom ordering app, a Shopify store, a field service app, a membership platform or a Square register. A QuickBooks integration turns those business events into accounting records so your bookkeeper stops retyping them. Tepia has seen the same handful of problems undo integrations that looked fine in testing.
Tepia writes a posting map that ties each event in your system to a specific QuickBooks Online record. Your bookkeeper or CPA reviews it before development, because these choices decide how your reports read for years.
| Event in your system | QuickBooks Online record | Decision to make |
|---|---|---|
| New customer account created | Customer | Which external ID to store and how to treat parent and sub customers |
| Order paid at checkout | Sales receipt | Item mapping, tax code and deposit account |
| Job completed and billed on terms | Invoice | Terms, class, location and how line items roll up |
| Customer pays an open balance | Receive payment | Which open transaction it applies to |
| Processor payout lands in the bank | Deposit from a clearing account | Where processing deductions post |
| Refund issued | Refund receipt or credit memo | Whether stock returns to inventory |
| Supplier delivery received | Bill | Vendor match and expense or item accounts |
| Payroll run in an outside system | Journal entry | Summary level and department split |
For high volume businesses, Tepia often posts a daily summary rather than one record per sale, which keeps QuickBooks fast and readable while the detail stays in your own database.
QuickBooks Online exposes a modern REST API. Your app connects once through Intuit’s OAuth 2.0 consent screen, then posts and reads records for that company. Tepia stores tokens encrypted, refreshes them before they expire and tracks Intuit’s request limits so a busy day does not trigger throttling.
QuickBooks Desktop, including Enterprise, works differently. The integration runs through the QuickBooks Web Connector on a machine where the company file lives, polling a web service Tepia builds and exchanging qbXML messages on a schedule. It works well when that machine stays on, so Tepia adds monitoring that tells you when the Web Connector has not checked in.
Integration is not always the answer. If you run several legal entities that need consolidation, manage inventory across many warehouses, or have more finance users than QuickBooks comfortably supports, connecting more systems to it adds strain. Tepia will say so in Discovery and point you to our ERP integration services or NetSuite integration work, so the next integration is built for the system you will use in three years.
The projects Tepia sees repeatedly share one trait: the business has a workflow QuickBooks was never meant to run, and it needs the accounting side to follow automatically.
Tepia designs each one with a sync log your office staff can read, so a rejected record shows the reason QuickBooks gave and can be fixed and resent without a developer.
Tepia’s six phase process scales down well for QuickBooks projects, with a US based project manager running each one.
A focused QuickBooks integration usually sits at the short end of Tepia’s typical ranges: Discovery of a few weeks to 3 months and development and QA of 2 to 6 months. See our process or contact Tepia to talk through your setup.
