Inspection Apps

Field Inspection and Checklist App Development

Tepia builds custom field inspection and checklist apps that let your office design versioned inspection templates and let technicians complete them offline with required photos, readings and signatures. Every failed item can open a repair work order, and the finished inspection becomes a branded PDF with a full audit trail.

The essentials at a glance

An inspection is only worth what it can prove later, so the app has to capture the right evidence the same way on every visit.

Versioned Templates

Tepia stores every checklist with an effective date, so a report from two years ago still shows the exact questions the inspector answered.

Deficiency To Repair

Tepia turns each failed item into a draft repair work order or proposal, linking the fix back to the inspection that found the problem.

Evidence On Fail

When an item fails, the app requires a photo, a reading or a note before the inspector can move on, so no deficiency is left vague.

Works Offline

Mechanical rooms, roofs and rural sites drop signal, so inspections save on the device and sync with timestamps when coverage returns.

The numbers matter.

Safety and quality figures Tepia keeps in mind when scoping inspection and checklist software.

38%

Transportation Incidents

The Bureau of Labor Statistics reports transportation incidents caused about 38 percent of US work deaths in 2024, so pre trip checks count.

36%

Fewer Complications

A 2009 New England Journal of Medicine study found a surgical checklist cut inpatient complications from 11 to 7 percent.

17%

Falls And Trips

The Bureau of Labor Statistics counts falls, slips and trips in about 17 percent of US work deaths in 2024, hazards inspections catch.

What a field inspection app has to get right

Paper checklists fail in predictable ways. Boxes get ticked without anyone looking, readings are written in the margin, photos live on a personal phone, and the form changes every time someone edits the Word file. When a customer, insurer or regulator later asks what was checked, nobody can answer with confidence. Tepia builds inspection apps to close those gaps: each question has a defined answer type, failed items demand evidence, and the record cannot be quietly changed after sign off.

Versioning is the part most teams overlook. Codes, manufacturer requirements and your own standards change, so the checklist used in January may differ from the one used in October. Tepia keeps every template version with an effective date and ties each completed inspection to the exact version used. That matters when a backflow test or an annual sprinkler visit is reviewed years later.

The other requirement is what happens after a failure. An inspection that finds a cracked heat exchanger or a missing extinguisher tag should start a repair, not end as a line in a PDF. Tepia connects the checklist to work orders, proposals and reinspection visits so the loop actually closes.

Inspection types and the evidence each one needs

Tepia designs each checklist around the evidence someone will ask for later. These are common inspection types we scope for field teams:

Inspection Typical driver Evidence captured Output
Backflow preventer test Local water authority rules Gauge readings, test kit serial, calibration date Test report in the authority’s format
Fire extinguisher service NFPA 10 and the fire marshal Tag scan, pressure check, hydrostatic test date Site report listing every unit
Roof condition survey Owner, property manager or insurer Photos by roof section, moisture readings, markups Condition report with repair options
Equipment start up and commissioning Manufacturer start up sheets Pressures, temperatures, model and serial numbers Warranty registration packet
Vehicle pre trip check FMCSA driver vehicle inspection rules Defects found, driver signature Fleet maintenance ticket
Completed work quality audit Your own standards Photos, scored items, supervisor notes Technician scorecard and coaching notes

Many companies run four or five of these at once. Tepia builds them on one template engine so the office manages them in one place and every result lands in the same asset history.

Checklist builder features for the office and the field

Tepia splits the product into a template builder for administrators and a fast completion flow for inspectors. The builder supports:

  • Answer types including pass, fail and not applicable, numeric readings with acceptable ranges, barcode scans, multiple choice, signatures and required photos.
  • Conditional logic so a gas furnace checklist only asks about combustion readings when the unit is gas fired.
  • Reference images that show the inspector what a correct installation looks like.
  • Scoring and weighting for quality audits where some items matter more than others.
  • Asset prefill, which loads last year’s readings so the inspector can spot a trend on site.

On the field side, Tepia keeps the flow one question at a time with large tap targets for gloved hands. Where it saves real time, we add AI image recognition to read a nameplate or a gauge from a photo, always shown to the inspector for confirmation.

Reports, audit trails and integrations

The report is what your customer sees, so Tepia generates it as a branded PDF with photos inline, deficiencies summarized at the top and the inspector’s license or certification number in the footer. The underlying record keeps an audit trail of who completed each item, when, where and on which device.

Integrations usually include your work order or field service management software for repairs, a customer portal where facility managers download reports, SharePoint or Google Drive for document retention, and Salesforce or HubSpot when inspections feed a commercial sales pipeline. Tepia builds this on PostgreSQL with encryption in transit and at rest and SOC 2 aligned access controls.

How Tepia approaches field inspection apps

Tepia’s six phases map cleanly onto inspection work, and a US based project manager runs each one.

  1. Discovery: a collection of every paper form and spreadsheet in use, ride alongs with inspectors, and a review of the standards each form cites. Deliverables are an Investigation Summary, an Interview Summary and User Stories such as an inspector failing a backflow device and scheduling the retest before leaving.
  2. Design: a design questionnaire, moodboards and a style guide, wireframes of the template builder and the completion flow, and sample designs of the customer PDF.
  3. Development and Testing: an Alpha with your two most common inspections and a Beta with the full set, with functional, user acceptance and non functional tests for offline sync, photo storage and report accuracy.
  4. Training: separate hands on sessions for template administrators and inspectors, using real past inspections as scenarios.
  5. Launch: conversion of paper forms into templates, import of asset lists and prior results, and support reps available during the first inspection cycle.
  6. Support: issue resolution and feature requests such as a new template when a code edition changes.

Discovery is typically 1 to 3 months, development and QA 2 to 6 months, and launch about a month. Read our process for more.

Generic form apps or a custom inspection app

General form tools such as SafetyCulture or GoCanvas work well for simple internal checklists, and Tepia recommends them when your inspections stand alone. A custom inspection app becomes the better choice when inspections drive repairs and billing, when a regulator or water authority requires a specific report layout, when asset history across many years matters, or when you sell inspections as a service and need a branded customer experience.

There is also a middle path. Some teams keep a form tool for internal safety walks and let Tepia build the customer facing inspections, where report quality and repair follow through carry the most weight. Both can feed the same asset history through an API, so nothing is lost by starting small. Compare options in build or buy software, review our work, and talk to Tepia about your checklists.

Frequently asked questions

Who can build a custom inspection app for our field technicians?
Tepia builds custom field inspection and checklist apps for iOS, Android and the web, with a template builder for your office and an offline completion flow for inspectors. A US based project manager leads the project through all six phases.
Can we change our checklists ourselves after launch?
Yes. Tepia builds a template builder so administrators can add questions, logic and required evidence without a developer, and each change is saved as a new version with an effective date.
Can a failed inspection item automatically create a repair job?
Tepia links every failed item to a draft work order or proposal in your field service system. The repair keeps a reference to the inspection and photos that found the problem.
Will the app produce reports in the format our water authority or fire marshal wants?
Tepia designs report templates to match the layout your authority expects and fills them from the inspection data. Where an agency accepts electronic submissions, Tepia can export the data in the required format.
Is a custom inspection app better than SafetyCulture or GoCanvas?
Not always. Tepia recommends general form apps for standalone internal checklists, and a custom app when inspections feed repairs, billing, asset history or a branded customer report.
