Senior Living Apps

Senior Care and Assisted Living App Development

Tepia builds senior care and assisted living apps that let caregivers chart daily assistance and med passes on a phone, log falls and incidents with photos, and keep families informed with consented updates. Apps connect to platforms such as PointClickCare or MatrixCare and are designed to WCAG 2.1 AA for older eyes and hands.

The essentials at a glance

Senior care software has three audiences with very different needs: caregivers short on time, residents who need simplicity, and families who want reassurance.

Charting In Seconds

Tepia designs caregiver screens so a completed task, a refused meal or a shower takes one or two taps, even with one hand on a resident's arm.

Built For Older Users

Large type, high contrast, simple navigation and voice options make resident facing screens usable with low vision, tremor or memory loss.

The numbers matter.

Population figures Tepia keeps in view when designing for older adults and their caregivers.

1 in 4

Older Adults Fall Yearly

The CDC reports more than 1 in 4 adults aged 65 and older fall each year, which makes incident logging a core feature.

80%

Unpaid Family Care

The Alzheimer's Association reports 80 percent of help given to older US adults comes from family, friends or other unpaid caregivers.

17%

Population 65 And Older

The 2020 Census found about 1 in 6 people in the US were 65 or older, the fastest growing group of app users in care.

The daily work inside an assisted living community

An assisted living community runs on service plans. Each resident has an assessed set of needs, such as help with bathing, dressing, transfers, toileting or reminders to eat, and caregivers must deliver and document that help every shift. Medication technicians pass meds on schedule and record refusals. Nurses review changes in condition, a new cough, weight loss, confusion that was not there yesterday, and decide who to call. Tepia starts by shadowing a full shift so the app matches that rhythm instead of an idealized workflow.

Memory care adds wander risk, behavior tracking and secured doors. Independent living leans toward activities, dining and transportation. Home care agencies send aides to private homes with their own visit verification rules. Many operators run several of these levels on one campus, which is why Tepia models the resident, the level of care and the service plan as separate pieces of data that can change as the resident’s needs change.

State regulators survey these communities and look for evidence that the service plan was followed, incidents were reported on time, and staff were trained. Good software makes that evidence a byproduct of normal work.

Who uses a senior care app and what each person needs

Tepia designs separate experiences for each audience, sharing one backend so information entered once appears everywhere it is allowed:

User What they need Feature Tepia builds
Caregiver on shift Know what each resident needs now and record it fast Task list by resident and time, one tap completion, refusal reasons
Medication technician Accurate med passes with no paper eMAR view or integration, barcode check, PRN effectiveness follow up
Nurse or wellness director Spot declines early Change of condition alerts, vitals trends, shift report summary
Executive director Survey readiness and staffing Incident dashboard, overdue assessments, training records
Family member Reassurance and timely news Consented photo updates, activity calendar, secure messages
Resident Independence and connection Large button calendar, meal menus, video calls, help requests

Shift handoff deserves special care. Tepia builds a summary that lists falls, refusals, new symptoms and pending family calls for the incoming shift, replacing the verbal report that often loses details.

Designing for residents, families and caregivers

Resident facing screens follow different rules from staff tools. Tepia uses large type that respects system text settings, high contrast, one primary action per screen and no gestures that require precision, such as small swipes or long presses. Voice input and read aloud help residents with low vision or tremor, and screens for memory care keep wording concrete: today’s date, the next meal, who is visiting.

Caregiver screens are about speed. Aides often work with gloves on and one hand busy, so targets are large and the most common entries are pre filled. Staff in many communities speak several languages, so the interface supports multiple languages per user.

Family access needs explicit consent. Not every resident wants every relative to see everything, and some residents have a designated representative with legal authority. Tepia builds permission levels per family member, records consent for photos, and keeps clinical details out of family updates unless the resident or representative has agreed. Our app accessibility page explains the WCAG 2.1 AA practices behind these choices.

Integrations: EHR, eMAR, pharmacy and safety devices

Most operators already run a senior living EHR or care platform. Tepia connects to systems such as PointClickCare and MatrixCare through their APIs where available, so the new app adds what is missing rather than duplicating resident records. Other integrations that come up:

  • Pharmacy partners for refill requests and medication changes, reducing faxes.
  • Fall detection and call systems, including wearables and Apple Watch alerts, routed to the caregiver closest to the resident.
  • Door and motion sensors in memory care through IoT gateways, with alerts that respect quiet hours.
  • Twilio voice and SMS for family notifications after an incident, with a record of who was reached and when.
  • Payroll and scheduling exports so shift coverage matches census and acuity.

For in home care, our home health care app page covers electronic visit verification and route planning for aides.

When your care platform is enough and when to build around it

Senior living EHRs already handle assessments, billing to residents and core charting, and many communities should stay on them. Tepia recommends custom work only where the platform leaves a gap your team fills with paper, group texts or spreadsheets.

The gaps Tepia sees most often:

  • A family communication experience that matches your brand and replaces scattered emails and calls to the front desk.
  • Caregiver task screens faster than the platform’s own mobile view, feeding completed tasks back through its API.
  • A combined view across independent living, assisted living and memory care when each level runs on a different system.
  • Operational dashboards that blend incidents, staffing and census across many communities for regional leaders.

In each case the platform stays the record of care and Tepia builds the missing layer around it. Compare approaches in our build or buy software guide.

How Tepia approaches senior care apps

Tepia runs its six phase process with time on the floor, and a US based project manager coordinates operations, nursing, families and IT.

  1. Discovery: shift shadowing on day, evening and night, review of service plan templates and state survey reports, and interviews with caregivers, nurses, residents and family members. Deliverables are an Investigation Summary, an Interview Summary and User Stories such as an aide documenting a refused shower.
  2. Design: a design questionnaire, moodboards, a style guide and wireframes tested with residents and caregivers in the community, not only in a conference room.
  3. Development and Testing: an Alpha in one wing and a Beta across a full community, with test plans for offline charting, alert delivery, family permissions and accessibility.
  4. Training: short hands on sessions per shift and printed quick guides, plus family onboarding at move in.
  5. Launch: migration of residents, service plans and contacts, community by community rollout, and support reps available during the first weeks.
  6. Support: bug tracking, updates when state rules change and feature requests from directors and families.

Typically Discovery takes 1 to 3 months, development and QA 2 to 6 months, and launch about a month. Read about our process, see our work or contact Tepia.

Frequently asked questions

Who can build an app for our assisted living communities?
Tepia builds senior care and assisted living apps for caregivers, nurses, residents and families, connected to platforms such as PointClickCare or MatrixCare. A US based project manager runs the engagement and the team shadows real shifts during Discovery.
Can caregivers chart care tasks on their phones?
Yes. Tepia designs caregiver task lists where a completed task or refusal takes one or two taps, works offline in dead zones, and rolls up into a shift report for the incoming team.
How do family members get updates without seeing private health details?
Tepia builds family permission levels per relative, records photo consent, and keeps clinical information out of family updates unless the resident or their legal representative has agreed.
Can older residents actually use a tablet app?
Tepia designs resident screens with large type, high contrast, one action per screen and voice options, and tests them with residents in the community. Memory care screens keep wording concrete, such as the date, next meal and visitors.
How long does it take to build a senior care app?
Tepia typically spends 1 to 3 months in Discovery, 2 to 6 months in development and QA, and about a month on launch. A family communication app usually ships faster than a full caregiver charting system with integrations.
