Lead Routing
Tepia builds routing rules by lead source, zip code, language and agent capacity, with a shared pond for leads left untouched past your deadline.

Builds typically pair a React web app for the office with a React Native app agents carry to showings.
A brokerage CRM has to route a portal lead in minutes, follow the deal to the closing table and keep the agent in touch for years after.

Industry figures Tepia plans around when scoping real estate CRM work.
The National Association of Realtors reports roughly 86 to 89 percent of recent buyers purchased through an agent.
NAR's Profile of Home Buyers and Sellers finds about half of buyers first found the home they bought on the internet.
NAR's 2025 Profile of Home Buyers and Sellers found 43 percent of buyers found their agent through a friend, neighbor or relative.
Most real estate CRMs are designed for one agent or one small team. They work well until a brokerage is buying leads from several portals, running its own paid search, recruiting agents and closing hundreds of transactions a year across offices. At that point the questions change: which agent gets this lead, how fast did they call, which source actually produces closings, and who owns the relationship when an agent leaves. Tepia hears those four questions in almost every brokerage Discovery session.
The data model is usually the breaking point. A packaged tool treats a contact as one person, but your business runs on households that buy and sell more than once, investors with several properties, and referral partners such as lenders, title officers and relocation companies. Teams that bolt this onto a generic CRM end up with tags nobody trusts and a spreadsheet open beside the system. A custom CRM from Tepia models those relationships directly, so a seller who becomes a buyer two towns over stays one record with one history.
Ownership matters too. When an agent leaves, the brokerage needs a clear rule for which contacts stay, which go with the agent and what happens to active deals. Tepia builds that rule into permissions and offboarding instead of leaving it to a manual export on the agent’s last day.
Tepia scopes the feature set around how your brokerage generates and converts business. A typical core looks like this:
| Feature | Who uses it | Why it matters |
|---|---|---|
| Lead routing by source, area, language and agent capacity | Brokers and team leads | Gets a portal inquiry to the right agent within minutes and reassigns it if nobody responds |
| Shared lead pond with claim rules | Agents | Lets aged leads be worked by someone with time instead of going cold |
| Saved searches and listing alerts from MLS data | Buyers and agents | Sends matching new listings and status changes before a competing agent does |
| Transaction milestone tracker | Transaction coordinators | Keeps inspection, appraisal, financing and closing deadlines visible on every deal |
| Past client and sphere campaigns | Agents and marketing | Turns home anniversaries and neighborhood updates into repeat and referral business |
| Recruiting pipeline for prospective agents | Brokers and recruiters | Tracks agent production, conversations and onboarding steps in one place |
| Source to closing reporting | Owners and managers | Shows which portals, ads and partners actually produce closed transactions |
The reporting row is often the reason a brokerage calls Tepia. Packaged tools can tell you how many leads came from a portal, but tying a lead to the eventual closing, often six to eighteen months later, requires the CRM to own both the lead and the transaction record. When it does, you can see which sources deserve more marketing attention and which agents convert a specific kind of buyer, such as first time buyers or relocation clients.
A real estate CRM only earns its place when it is connected to the systems agents already live in. Tepia handles these integrations as part of every brokerage build:
Since written buyer agreements became a requirement for MLS participants after the 2024 NAR settlement, Tepia also adds agreement status to the buyer record and can flag a showing request when no signed agreement is on file. For the plumbing behind these connections, see our API development and integration services.
Tepia applies its six phase process to brokerage CRMs, with a US based project manager leading each engagement from the first interview.
Typically Discovery runs 1 to 3 months, development and QA 2 to 6 months, and launch about a month. See Tepia’s process for detail on each phase.
A solo agent or a team of a dozen agents is usually well served by a packaged real estate CRM, and Tepia will say so. Custom development makes sense when the brokerage itself is the customer of the software: many offices, its own lead generation, recruiting as a growth engine, or a mix of resale, new construction and property management that one product cannot model.
There is also a middle path. Some brokerages keep Salesforce or HubSpot as the system of record and have Tepia build the routing engine, agent app and reporting on top through their APIs. Our Salesforce vs HubSpot vs custom CRM comparison walks through that decision, AI for real estate teams covers lead summaries and listing description drafts, and CRM data migration explains how years of contacts move safely. When you are ready, talk to Tepia about your lead flow.
