CRM Data Migration

CRM Data Migration Services

Tepia moves CRM data from Salesforce, HubSpot, Microsoft Dynamics 365, Zoho, older desktop CRMs and spreadsheets into a new custom or packaged CRM. Every migration includes a field mapping document, deduplication rules, sandbox test loads reconciled by record count and a rehearsed cutover, typically finished inside a launch phase of about a month.

The essentials at a glance

A CRM migration succeeds when every record, relationship and activity lands where users expect it and the old system can be switched off.

Field Mapping

Tepia documents every source field, its target, transformation rules and business owner, so nothing moves on assumption and each choice is reviewable.

Verified Cutover

Record counts and spot checks are reconciled after every test load, and Tepia schedules cutover only after a clean full rehearsal.

The numbers matter.

Data figures Tepia plans around when scoping a CRM migration.

22.5%

Contact Data Decay

HubSpot estimates marketing contact databases naturally degrade by about 22.5 percent every year as people change jobs.

28%

Time Spent Selling

Salesforce's State of Sales research found reps spend only about 28 percent of their week actually selling.

90%

Customer Retention

Tepia clients report about 90 percent customer retention, and clean relationship data is part of how teams keep customers.

What makes CRM data migration hard

Exporting records from a CRM is easy. Moving a working history is not. A typical source system holds accounts, contacts, leads, opportunities, activities, custom objects, attachments and years of picklist values that changed meaning along the way. Relationships connect all of it, and those relationships are stored as internal IDs that mean nothing in the new system. Tepia treats migration as an engineering project with its own plan, tests and sign off, not an export someone runs on a Friday afternoon.

The data itself is rarely clean. Duplicates creep in from list imports and web forms, ownership points to users who left years ago, fields that are required in the new system were optional in the old one, and some critical information lives only in free text notes. Each problem needs a rule, and each rule needs someone on your side to approve it. Tepia’s job is to surface those decisions early and make them easy to make.

Finally, the business keeps running. Reps keep logging calls and marketing keeps capturing leads right up to cutover, so the plan has to account for changes that happen after the first load.

The migration plan, step by step

Tepia runs each migration through the same sequence, with outputs your team can review at every step:

Step Output Typical duration
Source inventory Objects, record counts, custom fields, integrations and active users 1 to 2 weeks
Field mapping and rules Mapping document with transformations, defaults and owner decisions 1 to 3 weeks
Cleansing and deduplication Approved match rules, merge log and exception list 1 to 3 weeks, often in parallel
Test load into a sandbox Loaded sandbox and a reconciliation report of counts and samples 1 to 2 weeks per cycle
User acceptance review Sign off from sales, service and finance leads on their records About 1 week
Cutover rehearsal Timed full run with a written rollback plan A few days
Production cutover and delta load Live data, final reconciliation and a read only source system One weekend plus a delta pass
Hypercare Fixes to stray records and integration checks 2 to 4 weeks

These durations are typical for a mid sized CRM with a few hundred thousand records. Tepia runs most of these steps alongside development of the new system, so the data is ready when the software is, rather than becoming a separate project at the end.

Source systems and the details that matter

Every source CRM has its own traps. Tepia plans for them by name:

  • Salesforce: record types, sharing rules, Person Accounts, custom objects and file storage all need explicit handling, and Tepia uses the Bulk API for volume.
  • HubSpot: associations between contacts, companies, deals and tickets, lifecycle stages and timeline engagement history.
  • Microsoft Dynamics 365: entity relationships, option sets, business process flows and attachments stored in Dataverse or SharePoint.
  • Zoho, Pipedrive and similar tools: custom modules, pipeline stages and synced email history.
  • Legacy and desktop CRMs such as ACT, GoldMine, FileMaker or Microsoft Access databases, often with nonstandard structures that need careful parsing.
  • Spreadsheets, where the job is mostly finding the real schema hidden in tabs and column names.

Integrations have to move too. Marketing automation, phone systems, ERP syncs and website forms all point at the old CRM, and Tepia inventories each one so it is repointed during cutover instead of failing quietly on Monday morning. How Tepia approaches CRM data migration

Tepia maps migration work onto its six phase process, with a US based project manager who owns the cutover plan.

  1. Discovery: a system investigation of the source CRM, interviews with the people who rely on each object, and a third party integration review of everything connected to it. Alongside the Investigation Summary, Interview Summary and User Stories, migrations add a source inventory and a data quality report.
  2. Design: the mapping document and target data model reviewed field by field with your owners, plus wireframes showing how migrated history will appear on the new record screens.
  3. Development and Testing: versioned migration scripts, repeated sandbox loads and test plans for record counts, relationship integrity and user acceptance by each department.
  4. Training: users practice in a sandbox loaded with their own real records, so the first day in the new CRM feels familiar.
  5. Launch: the production load, a delta load of changes made since, the source system set to read only and support reps available for data questions.
  6. Support: issue resolution for stray records, bug tracking on integrations and requests such as archiving a full export of the old system for retention.

Typically Discovery runs 1 to 3 months, less for a standalone migration into a CRM you have already chosen, and launch takes about a month. See Tepia’s process.

Migration on its own or as part of a new CRM

Some teams have already picked their next CRM and only need the data moved safely. Others are leaving a platform because it no longer fits, and the migration is one part of a custom build. Tepia does both. When you are moving a simple contact list between packaged products, the vendor’s import tool may be enough, and Tepia will say so.

Bring Tepia in when you have custom objects, years of activity history, attachments, several source systems after an acquisition, or integrations that must keep working through cutover. Start with custom CRM development if you are still deciding where to move, review database design and management for the target model, or contact Tepia with a list of your source systems.

Frequently asked questions

Who can migrate our data from Salesforce to a new CRM?
Tepia migrates Salesforce accounts, contacts, opportunities, activities, custom objects and files into a custom or packaged CRM, using the Bulk API for volume. Every load is reconciled by record count and sample checks before cutover.
Will we lose our notes and email history when we switch CRMs?
Not with a planned migration. Tepia carries notes, emails, calls, tasks and attachments with their original dates and owners, and links each one to the right contact, account or deal in the new system.
How do you handle duplicate contacts during a CRM migration?
Tepia proposes match rules on email, phone, company domain and address, your team approves them, and every merge is logged so it can be reviewed or reversed during testing.
Can our team keep working in the old CRM during the migration?
Yes. Tepia runs test loads from snapshots while your team keeps working, then performs the production load and a delta load of recent changes at cutover, usually over a weekend.
How long does a CRM data migration take?
Tepia typically completes a mid sized migration over several weeks of mapping, cleansing and test loads, followed by a weekend cutover and two to four weeks of hypercare. Several source systems or heavy custom objects extend the mapping stage.
