When a custom fleet app beats a SaaS platform

  • Asset registry. Every vehicle and piece of equipment with VIN, plate, telematics device ID, ownership or lease terms, assigned location and custom fields per asset type.
  • Maintenance scheduling. Preventive maintenance by mileage, engine hours or calendar, pulled from telematics odometer and hour readings. Fault codes from the feed create inspection or repair tasks automatically, with parts and labor recorded against the asset.
  • Inspections. Driver vehicle inspection reports on the mobile app, with photo capture for defects, a defect to repair flow, and a record for each inspection. Tepia builds the forms as data your fleet manager edits.

  • Assignment and utilization. Which asset is with which crew or job today, utilization by asset, and a checkout flow for pool vehicles.

The mobile driver app is built for iOS and Android, works offline first for inspections in yards without signal, and uses push notifications for assignment and defect updates.

How telematics integration works

Tepia connects to telematics platforms through their APIs rather than by reading hardware directly. Geotab exposes vehicle, trip, fault and exception data through its SDK and API; Samsara provides REST APIs and webhooks for vehicle stats, locations, safety events and hours of service. Tepia builds an adapter per provider that normalizes the data into one model, so the fleet app does not care which box is in the truck.

Polling intervals and webhook use are tuned to your needs. Maintenance data (odometer, engine hours, fault codes) is pulled on a schedule, while safety events and location arrive through webhooks where the provider supports them. Tepia stores history in PostgreSQL so reports do not depend on the vendor’s retention limits, and the raw feed is kept for audit.

How Tepia approaches custom fleet management app development

Tepia runs fleet projects through its six phase process. Discovery is where the telematics feed is audited and the workflow is mapped.

  1. Discovery (typically 1 to 3 months). Tepia reviews your telematics account and API access, interviews fleet managers, mechanics, dispatchers and drivers, and audits integrations with your ERP, work order or fuel card systems. Deliverables: Investigation Summary, Interview Summary and User Stories, including your scoring and maintenance rules written down.
  2. Design. Design questionnaire, moodboards and a style guide, then detailed wireframes for the fleet portal, the inspection flow and the driver score screen, with sample designs reviewed by drivers and mechanics.
  3. Development and Testing (typically 2 to 6 months). Alpha and Beta schedules with functional, user acceptance and nonfunctional test plans, including integration tests against the telematics sandbox and a pilot on a subset of vehicles.
  4. Training. Hands on sessions for fleet staff and driver leads built on user story scenarios such as a failed inspection and a fault code that becomes a repair.
  5. Launch (about 1 month). Migration of the asset list and maintenance history, transition from spreadsheets or the old platform by location, and Tepia support reps during rollout.
