Linked Records
Tepia attaches every document to the record it belongs to, such as a contract, job or employee, so files are found from the work itself.
Read: AI Document Processing and Data ExtractionTepia builds custom document management systems that capture, classify, version and route the documents your business runs on, with permissions, retention rules and full text search. Systems typically connect to SharePoint, Google Drive, DocuSign and your CRM or ERP, and can use OpenAI or Anthropic models to extract fields from scanned files.
The value of a document system comes from linking each file to the customer, job, contract or employee it belongs to, and enforcing what happens to it over time.

Research and rules Tepia plans around when scoping document systems.
McKinsey Global Institute estimated knowledge workers spend nearly 20 percent of the workweek looking for internal information.
The same McKinsey research found about 28 percent of the workweek goes to reading and answering email, where many documents live.
Tepia clients report about 90 percent customer retention, and records that are easy to find are part of how teams keep clients.
Every company stores files. A document management system earns its name by controlling what happens to them. A property manager needs leases, addenda and move out inspections tied to each unit and tenant. A manufacturer needs controlled revisions of work instructions, with operators acknowledging each new version. A construction firm tracks submittals and change orders through review cycles with architects and subcontractors. Tepia starts by listing the document types you handle and the life each one follows.
That life usually runs from capture through review, approval, signature, filing, retention and eventually destruction. Each step has rules: who can see a draft, who must approve, which version is current, how long the final copy must be kept and who can override that. Shared drives and email attachments cannot enforce any of it, which is why teams end up with five copies of a contract and no confidence that the signed one is in the right folder.
Tepia shapes the feature set around your document types and the people who touch them. Most systems include:
| Feature | Who uses it | Why it matters |
|---|---|---|
| Capture from scanners, email inboxes and phone cameras | Office staff and field crews | Gets paper and attachments into the system the day they arrive |
| AI classification and field extraction | Records and back office teams | Turns a pile of scans into typed, searchable records with less keying |
| Metadata linked to customers, jobs or employees | Everyone who works a record | Finds documents from the work rather than from folder names |
| Versioning with check out and check in | Authors and reviewers | Stops two people overwriting each other and keeps every prior version |
| Review and approval workflows | Managers, quality and legal | Routes each document to the right approver with deadlines and reminders |
| Electronic signature through DocuSign or Adobe Acrobat Sign | Customers, vendors and staff | Closes agreements without printing and scanning |
| Retention schedules and legal holds | Compliance and legal | Keeps records exactly as long as required, and no longer |
| Full text and natural language search | All users | Finds a clause or part number inside a PDF, not just its file name |
Search deserves attention. Beyond keyword search, Tepia can add retrieval augmented generation so staff ask a question in plain language and get an answer with links to the source pages, filtered by what that user is allowed to see.
Documents rarely start in a document system. They arrive by email, get drafted in Word or Google Docs, come back signed from DocuSign or are photographed on a job site. Tepia connects the system to where documents originate and to the apps where people look for them:
Our AI document processing team handles OCR and extraction, and every extracted field keeps a confidence score so uncertain results go to a person.
Retention is where custom systems prove their worth. Tepia models a retention schedule per document type, such as personnel files, safety records or customer contracts, with a trigger event like contract end or employee separation and a period after it. When a period expires, the system queues the document for review and destruction and records the action. A legal hold freezes every document tied to a matter until it is released.
Permissions follow the record, not the folder: a project manager sees documents for their jobs, HR sees personnel files, and external parties see only what is shared with them through a portal. Files are encrypted in transit and at rest, stored on Amazon S3 or Azure Blob Storage with object lock available for records that must not be altered, and every access is logged. For regulated data Tepia applies HIPAA aware architecture and SOC 2 aligned practices; see compliance tracking software for related work.
Tepia’s six phase process shapes every document system, and a US based project manager keeps records owners, IT and daily users aligned.
Typically Discovery runs 1 to 3 months, development and QA 2 to 6 months, and launch about a month, with large file migrations planned as their own track. See our process.
If your needs are shared folders, version history and permissions for internal teams, SharePoint or Google Drive configured well is often enough, and Tepia will say so. Packaged document management products built for one profession, such as law or engineering, also fit when your process matches their assumptions.
A custom system makes sense when documents must live inside your own operational app, when customers or field crews capture and view documents outside the office, when retention and approval rules are specific to your business, or when extraction must feed fields in your CRM or ERP. A common hybrid keeps files in SharePoint and builds the workflow, metadata and search on top through Microsoft Graph. Read build or buy software, see our work, and talk to Tepia about your document types.
