Wholesale Ordering

Wholesale Ordering App Development for Brands and Reps

Tepia builds custom wholesale ordering apps for brands that sell to independent retailers, with digital line sheets, seasonal prebooks, one tap reorders and an offline mode for sales reps at trade shows. Apps are typically built in React Native or Swift and Kotlin with a React buyer portal, synced to NetSuite, QuickBooks or Salesforce.

The essentials at a glance

A wholesale ordering app replaces PDF line sheets, emailed spreadsheets and handwritten trade show orders with one catalog your retailers and reps both trust.

Account Rules

Each retailer sees only its approved assortment, terms and case pack rules, so a buyer cannot submit an order the warehouse must reject.

The numbers matter.

Figures Tepia plans around when scoping a wholesale ordering app.

79%

Recent iPads Updated

Apple reports 79 percent of iPads introduced in the last four years ran iPadOS 26 in June 2026, so rep iPads can run current features.

91%

Buyers On Phones

Pew Research Center reports 91 percent of US adults own a smartphone, including the store owners who reorder from the floor.

20%

Mobile Revenue Lift

Tepia clients report roughly a 20 percent revenue increase after adding a mobile channel to how customers buy from them.

How wholesale ordering actually works between a brand and its retailers

Wholesale runs on two rhythms at once. Months ahead of a season, your reps show the new line and boutique owners place prebooks with a requested ship window, often split across several deliveries. During the season, those same stores reorder proven sellers at once, usually in a hurry and often from a phone while standing in the stockroom. Tepia designs the app around both rhythms, because a tool that only handles one forces the other back into email.

The details are what make wholesale different from consumer ecommerce. Apparel and footwear sell in size runs and prepacks, so a buyer orders a pack of sizes rather than single units. Food and beverage brands sell by the case with pallet and layer minimums. Gift and home brands set opening order minimums for new accounts and lower reorder minimums after that. Each retailer may carry a different approved assortment, and some are on credit hold until accounts receivable clears them.

Most brands still manage this with a PDF line sheet, an order form spreadsheet and a rep who types everything into the ERP after the show. Tepia replaces that chain with a single catalog that the buyer, the rep and the warehouse all read from, so an order is right when it is placed instead of corrected two days later.

Features a wholesale ordering app needs

Tepia scopes features from your channel mix and product structure. A brand selling to a few hundred boutiques needs different screens than a distributor with thousands of SKUs, but most wholesale apps share this core:

Feature Who uses it Why it matters
Digital line sheet with imagery and size runs Retail buyers and reps Replaces the seasonal PDF and stays current when a style drops
Prebook ordering with ship windows Retail buyers Lets one order split into several dated deliveries
One tap reorder from order history Store owners Turns the most common wholesale task into a few seconds
Rep mode with offline order writing Sales reps Captures orders at trade shows and store visits without signal
Account specific assortments and terms Sales managers Keeps exclusives and regional lines visible only to the right stores
Minimums, case packs and prepack validation Operations Stops orders the warehouse cannot pick as entered
Available to promise by ship window Buyers and reps Shows what can ship now versus next delivery

Rep mode deserves special care. A rep at a regional gift show may write forty orders in a day with spotty Wi-Fi, scan a barcode on a sample to add it, and capture the buyer’s signature on the iPad. Tepia builds that flow so it never loses an order and flags conflicts, such as a style that sold out while the rep was offline, the moment it syncs.

Integrations wholesale brands rely on

A wholesale app is only as good as its connection to the systems that ship and bill the order. Tepia connects to the platforms brands already run:

  • ERP and accounting: NetSuite, Microsoft Dynamics 365 Business Central or QuickBooks for items, inventory, customer terms, credit status and order import.
  • CRM: Salesforce or HubSpot so reps see account history, open opportunities and visit notes next to the order screen.
  • Warehouse or 3PL: inventory and shipment status pulled back so the buyer sees what shipped and what is still on a future delivery.
  • EDI: large retail accounts that require purchase orders and advance ship notices through EDI keep that path, while independents use the app.
  • Payments: Stripe for card on file or ACH from new accounts that have not yet earned terms, tokenized so card data never touches your servers.

Our ERP integration services team handles the sync rules, including which system wins when a rep edits an order that the ERP already allocated.

How Tepia approaches wholesale ordering apps

Tepia runs its six phase process on every wholesale project, with a US based project manager who owns the plan and the schedule.

  1. Discovery: interviews with reps, customer service and a handful of your retail buyers, plus a review of your ERP item and customer data. Deliverables are an Investigation Summary, an Interview Summary and User Stories such as a boutique owner reordering a bestseller in three sizes.
  2. Design: a design questionnaire, moodboards and a style guide that carries your brand, then detailed wireframes of the line sheet, the size run grid and the rep order pad.
  3. Development and Testing: an Alpha with two reps and a few friendly accounts, then a Beta across a full season, with test plans for offline sync, minimum and case pack validation, and ERP order import.
  4. Training: hands on sessions for reps before a show and short guides for retail buyers built around their first reorder.
  5. Launch: migration of accounts, order history and open prebooks, timed between seasons so no live order changes systems midstream.
  6. Support: issue resolution, bug tracking and feature requests such as a new season template or another trade show.

Typically Discovery takes 1 to 3 months, development and QA 2 to 6 months, and launch about a month. See our process for detail.

Off the shelf wholesale tools or a custom build

Packaged wholesale platforms and the B2B features inside Shopify Plus or BigCommerce work well for many brands. If you sell a simple catalog, your terms are uniform and you do not rely on trade shows, Tepia will usually suggest staying on one and adding an app or integration only where it falls short.

Custom work earns its place when:

  • Your products use size runs, prepacks or configurable assortments that the platform models as separate products.
  • Your reps need a real offline order pad, not a web page that stalls in a convention hall.
  • Prebooks, reorders and EDI accounts currently live in three different systems that disagree.
  • You want retailers to have a branded mobile app that keeps your brand on their home screen between visits.

If you distribute rather than manufacture, our B2B distribution ordering app page covers route based delivery and large SKU counts, and how to build a B2B ordering app walks through the steps. You can also talk to Tepia about your next season.

Frequently asked questions

Who can build a wholesale ordering app for our retail accounts?
Tepia builds wholesale ordering apps for brands that sell to retailers, with a buyer app, a rep order pad and an admin portal. Builds typically use React Native for mobile and React for the web portal, synced to your ERP.
Can our sales reps write orders offline at trade shows?
Yes. Tepia builds rep mode as offline first, so orders, signatures and notes save on the device and sync when the booth reconnects, with any sold out styles flagged for the rep to resolve.
Can each retailer see only its own assortment and terms?
Tepia models account specific assortments, minimums and payment terms pulled from your ERP or CRM. A regional exclusive or a credit hold applies automatically, so the buyer never submits an order your team has to reject.
How do prebooks and at once reorders work in the same app?
Tepia treats them as two order types that share a catalog. A prebook carries future ship windows and can split across deliveries, while a reorder checks current available inventory and ships as soon as possible.
How long does it take to build a wholesale ordering app?
Tepia typically spends 1 to 3 months in Discovery, 2 to 6 months in development and QA, and about a month on launch. Most brands time launch between seasons so open prebooks migrate cleanly.
