Each feature connects to your CRM and to MLS data through the RESO Web API, with an agent approving anything a client sees.
Real estate AI should answer leads faster, draft the routine paperwork and track deadlines, while every client relationship stays with the agent.

Industry figures Tepia plans around when scoping AI for real estate teams.
NAR's 2025 Profile of Home Buyers and Sellers found 91 percent of buyers would use their agent again or recommend them to others.
NAR's 2025 Profile of Home Buyers and Sellers found 88 percent of home buyers purchased through a real estate agent or broker.
NAR's 2025 Profile found first time buyers fell to a record low 21 percent of purchases, so every one of those leads deserves a fast reply.
Real estate work has three moments where speed and accuracy decide outcomes. A portal lead arrives at 9 on a Saturday night and the buyer contacts three agents; the first one to reply with something useful usually gets the showing. A listing launches and needs a description, social posts and a feature sheet by the next morning. A contract is signed and a dozen dates start running at once: earnest money, inspection, appraisal, financing, title and closing.
Each of those moments involves repetitive writing or reading that AI handles well, wrapped around a judgment call that belongs to a licensed agent. Tepia designs real estate AI around that split. The AI drafts, extracts and reminds; the agent decides, signs and talks to the client.
Tepia usually begins with the moment that hurts most for your team. For high volume buyer teams it is lead response. For listing focused brokerages it is marketing content. For teams with a busy transaction coordinator it is contract to close.
Tepia scopes each use case with its data source and the point where a person signs off:
| Workflow | What AI does | Data source | Human checkpoint |
|---|---|---|---|
| New lead response | Replies by text or chat, asks timeline, area and financing status, offers showing times | Portal and website leads, agent calendars | Agent takes over once the lead is qualified |
| Lead routing | Assigns by area, property type, language and agent capacity using rules you set | CRM and roster | Team lead can reassign |
| Listing description | Drafts remarks from MLS fields and room photos | MLS record and photo set | Listing agent edits and approves |
| Fair Housing review | Flags steering or exclusionary wording in any draft | Draft text | Agent or broker resolves each flag |
| Contract extraction | Pulls parties, dates, contingencies and amounts due into fields | Signed agreement and addenda | Transaction coordinator confirms |
| Deadline reminders | Sends reminders to agents, clients and lenders ahead of each date | Extracted dates | Coordinator adjusts when terms change |
| Past client follow up | Drafts anniversary and market update messages | CRM history | Agent personalizes and sends |
Most teams launch with two rows and add more once the first ones are trusted. For the system these features sit on, see our custom real estate CRM page.
Tepia’s lead responder replies within minutes, at any hour, in the voice your team approves. It asks the questions an inside sales agent would: when the buyer hopes to move, which neighborhoods, whether they are preapproved, and whether they are already working with an agent. It offers showing times from the assigned agent’s calendar and books them directly.
Once a lead answers the qualifying questions, the conversation hands to a human with a summary at the top of the CRM record, so the agent picks up without asking the buyer to repeat themselves. Texts follow TCPA consent rules, with opt out handling built in, and the responder never discusses terms, makes representations about a property’s condition, or gives legal or lending advice.
Tepia connects the responder to the CRM you use, such as Follow Up Boss, HubSpot or Salesforce, or to a custom one. The same engine powers our broader AI sales assistant work.
Listing remarks are a natural fit for AI: the inputs are structured MLS fields and photos, and the output follows familiar patterns. Tepia’s drafts use the actual data, including room counts, lot size, year built, upgrades the agent lists and features detected in photos, and respect your MLS’s character limits and rules about contact details in public remarks.
The Fair Housing Act applies to advertising no matter who or what writes it. Every draft runs through a check for wording that describes the kind of buyer a home suits rather than the home itself, references to protected classes, and phrases tied to schools, places of worship or neighborhood makeup that can read as steering. Flags appear inline with a suggested neutral rewrite, and the agent or broker resolves each one before the listing goes live.
The same pipeline produces social captions, email blasts and feature sheets from one approved description, so the agent reviews once rather than four times.
Tepia runs its six phase process with your brokerage’s compliance needs built in from the start. A US based project manager works with your team lead, transaction coordinators and managing broker.
Typically Discovery takes 1 to 3 months, development and QA 2 to 6 months, and launch about a month. See our process.
After a contract is signed, the coordinator’s job is to make sure nothing is missed. Tepia’s extraction reads the purchase agreement and every addendum, pulls the effective date and each contingency period, calculates the actual calendar dates under the contract’s own counting rules, and shows them side by side with the source clause for confirmation.
Confirmed dates feed reminders to the agent, the client, the lender and the title contact. When an amendment changes a date, the extraction runs again and highlights what moved. Documents are checked against your broker’s file checklist so missing signatures or disclosures are caught before closing rather than after.
Tepia connects this to transaction platforms such as DocuSign, dotloop or SkySlope through their APIs where available. The document extraction approach is described on our AI document processing page. To pick your first use case, talk to Tepia.
