The question is who can build the connections properly. Middleware versus point to point integration

The first architecture decision is whether to connect systems directly to each other or through a middleware layer that Tepia builds and you own. Tepia’s rule of thumb: two systems and one direction, go point to point; three or more systems, or anything that needs retries, transformation and an audit trail, build middleware.

  • Point to point. System A calls System B’s API directly, usually through webhooks. Cheapest and fastest. Becomes fragile once a third system joins, because every pair needs its own connection and error handling.
  • Custom middleware. A small service, typically Node.js or .NET on AWS or Azure with a PostgreSQL queue, receives events from each system, maps them to a common model, and pushes updates out. Tepia builds in retries, dead letter queues, a sync log your staff can read, and alerts through SendGrid or Twilio when something needs a human.

Whatever the pattern, Tepia documents every field mapping and every failure mode, because the integration will outlive the people who requested it.

How Tepia approaches systems integration

Integration engagements run through Tepia’s six phase process, with the third party integration review in Discovery doing the heaviest lifting.

  1. Discovery (typically 1 to 2 months). System investigation of every application in scope, including API access, rate limits, authentication and data quality. User interviews with the people doing manual transfers today. Third party integration review producing a field level mapping document. Deliverables: Investigation Summary, Interview Summary, User Stories.
  2. Design. For integrations this means the data model, the sync rules (which system is the source of truth for each field), the conflict policy, and wireframes for any sync dashboard or admin screens.
  3. Development and Testing. Alpha and Beta schedules against sandbox accounts of each system. Test plans cover functional tests per mapping, user acceptance tests with your staff, and non functional tests for volume, rate limit behavior and recovery after an outage.
  4. Training. Hands on sessions for the staff who will monitor the sync log and resolve exceptions.
  5. Launch. Historical data migration or backfill, a cutover plan that often runs the old manual process in parallel for a period, and Tepia support reps on rollout.

Security, data ownership and what you keep

Integrations move sensitive data, so Tepia builds them with the same compliance practices as its applications: encryption in transit and at rest, credentials stored in a secrets manager rather than in code, audit logs of every sync, and HIPAA aware handling when PHI is involved, including BAAs with vendors. Payment data stays tokenized inside Stripe or Square so that card numbers never touch your systems, which keeps PCI DSS scope small.

You own everything Tepia builds: the middleware code, the cloud account it runs in, the mapping documentation and the sync logs. There is no proprietary connector platform that you pay for per month and cannot leave.
