Field Sales Apps

Field Sales Rep Mobile App Development

Tepia builds mobile apps for outside sales reps who visit accounts in person, covering route planning, offline account history, order entry, sample tracking and visit notes captured by voice. Apps are built in React Native or native Swift and Kotlin with offline first sync to Salesforce, HubSpot or Dynamics 365 and to your ERP.

The essentials at a glance

Outside reps adopt an app when it saves them time in the parking lot, not when it asks them to retype the visit into a CRM at night.

Account In Hand

Tepia puts open orders, recent returns, contacts and last visit notes on one screen that loads offline in a basement or a rural store.

Notes By Voice

Tepia adds voice capture with AI summaries, so a rep talks for a minute after a visit and the CRM gets clean notes and follow up tasks.

Orders On Site

Reps build orders from the live catalog with account specific terms and availability, then submit them to the ERP before leaving the lot.

Routes That Fit

Daily routes balance must see accounts, overdue visits and drive time, and Tepia lets managers set call frequency by account tier.

The numbers matter.

Sales figures Tepia plans around when scoping a field sales app.

28%

Time Spent Selling

Salesforce's State of Sales report found reps spend only about 28 percent of their week actually selling, with the rest lost to admin.

17%

Buyer Time With Sellers

Gartner research found B2B buyers spend about 17 percent of their buying time meeting with potential suppliers, so visits must count.

69%

Inconsistent Seller Info

Gartner found 69 percent of B2B buyers see inconsistencies between a supplier's website and what its sellers say, so reps need current data.

Why field reps stop using the CRM mobile app

Most CRMs were designed for someone at a desk. The mobile versions shrink the desktop view onto a phone, which works for checking a phone number and fails for everything else a rep does in the field. Ask an outside rep at a building products distributor or a medical device company how they really work and you hear the same story: notes go into the phone’s notes app, orders go by text to inside sales, and the CRM gets updated on Friday afternoon, if at all.

The damage shows up in management, not just in the rep’s day. Visit history is incomplete, so a new rep inherits a territory blind. Forecasts rely on memory. Samples go out without a record of who received them. Tepia hears these complaints in nearly every sales operations discovery session.

A purpose built field sales app fixes this by matching the rep’s actual day: plan, drive, visit, order, record, repeat. It writes to the CRM in the background so the system of record stays complete without asking reps to become data entry clerks.

A field sales day, screen by screen

Tepia designs around the sequence a rep actually follows. Here is how a typical day maps to the app for a distributor’s outside sales team.

  1. Morning plan: the app proposes a route from accounts due for a visit, open opportunities and appointments, and the rep drags stops into order.
  2. Before the visit: a briefing card shows what the account bought last quarter, open orders, recent returns or complaints, and promises made last time.
  3. On site: the rep checks in with GPS, captures shelf or display photos, notes competitor products, and records samples left behind.
  4. Order entry: the rep searches the catalog by name, SKU or barcode scan, sees branch availability and the account’s terms, and submits the order for approval or straight to the ERP.
  5. After the visit: the rep records a voice note in the truck, and the app turns it into a summary, next steps and dated follow up tasks.
  6. End of day: mileage is logged from the route, and the manager sees completed calls without asking for a report.

Tepia validates this flow with ride alongs before any screen is final, because the details of a real day, such as receiving docks with no signal, change the design.

Features and who benefits

Each feature has to save the rep time and give managers better information at the same moment. Tepia uses a table like this to agree on scope:

Feature What the rep does What managers get
Offline account briefing Reviews history before walking in Consistent visits regardless of rep tenure
Route planner with call frequency Follows a suggested day Coverage of every account tier on schedule
Catalog and order entry Takes the order on site Orders in the ERP the same day
Sample and literature tracking Logs what was left Sample accountability by account and product
Voice notes with AI summaries Talks instead of typing Complete, searchable visit records in the CRM
Photo capture with tags Documents displays and issues Evidence for merchandising and quality follow up
Team dashboard Sees own progress to goal Calls, orders and pipeline by rep and region

The voice note feature uses OpenAI or Anthropic model APIs with your CRM fields as the target structure. See our AI call notes and summaries page for how Tepia keeps that accurate.

Syncing with your CRM and ERP without losing data

A field sales app is only as good as its sync. Reps work offline for hours, edit the same account as inside sales, and expect orders to go through even when submitted from a dead zone. Tepia designs the sync rules explicitly:

  • Offline first storage on the device, with the day’s accounts, catalog and availability cached before the rep leaves home.
  • Field level merge so a rep’s visit note and an inside sales update to the same account do not overwrite each other.
  • Queued orders that submit in sequence when signal returns, with a clear status so the rep knows the order landed.
  • CRM mapping to Salesforce, HubSpot or Dynamics 365 activities, contacts and opportunities, so reporting stays in the tools leadership already reads.
  • ERP connection for orders, availability and account terms through NetSuite, Business Central or your existing system.

Phones get left in rental cars and coffee shops, so Tepia also plans for lost devices. Customer data on the phone is encrypted, sign in uses your company identity provider, and the app works with mobile device management tools such as Microsoft Intune so IT can wipe company data remotely without touching a rep’s personal photos. When a rep leaves, access ends the moment their account is disabled.

How Tepia approaches field sales app development

Tepia uses its six phase process with a US based project manager who works alongside your sales operations lead.

  1. Discovery: ride alongs with two or three reps in different territories, interviews with managers and inside sales, and a review of CRM and ERP data. Deliverables are an Investigation Summary, an Interview Summary and User Stories such as a rep taking a reorder in a store with no signal.
  2. Design: moodboards, a style guide and wireframes for the briefing card, order screen and voice note flow, tested one handed in daylight.
  3. Development and Testing: an Alpha with a single team and a Beta across regions, with test plans for offline sync, order accuracy and battery use over a full day.
  4. Training: short hands on sessions at a sales meeting, built around user story scenarios.
  5. Launch: App Store and Google Play or managed device distribution, account data loads and support reps for the first weeks.
  6. Support: bug fixes and feature requests from the field.

Most programs follow the usual Tepia rhythm: 1 to 3 months of Discovery, 2 to 6 months of development and QA, then about a month for launch. If your current CRM app has become shelfware, talk to Tepia.

Frequently asked questions

Who can build a mobile app for our outside sales reps?
Tepia builds field sales apps for iOS and Android with offline account history, route planning, order entry and voice visit notes. Apps sync to Salesforce, HubSpot or Dynamics 365 and to your ERP, and a US based project manager runs the engagement.
Why not just use our CRM’s own mobile app?
If reps only check contacts and log simple calls, Tepia will tell you the CRM app is enough. A custom app pays off when reps need offline order entry, briefing cards, sample tracking or voice notes that the standard app does not support well.
Can reps take orders in the app when they have no signal?
Yes. Tepia caches the catalog, availability and account terms on the device, queues orders offline and submits them in sequence when the connection returns, with a visible status for each order.
Can the app turn spoken visit notes into CRM records?
Tepia uses OpenAI or Anthropic model APIs to turn a short voice note into a summary, next steps and follow up tasks mapped to your CRM fields, and the rep reviews them before saving. Notes are written to the activity record in Salesforce, HubSpot or Dynamics 365, and tasks get due dates the manager can see.
How long does it take to build a field sales app?
Tepia typically spends 1 to 3 months in Discovery, 2 to 6 months in development and QA, and about a month on launch. A first release focused on briefings and visit notes can reach reps sooner than full order entry.
