Access Control Apps

Gate and Access Control App Development

Tepia designs and builds gate and access control apps from scratch for gate operator makers, communities, apartment properties, self storage and commercial sites, with resident credentials, guest passes, Bluetooth and cellular gate commands, entry logs and admin portals. Tepia built the iOS app, Android app and admin portal for Maximum Controls, covering gate control and IoT access.

The essentials at a glance

An access app has to open the right gate for the right person every time, refuse everyone else, and leave a log that holds up when a board or manager asks who came in.

Works Offline

Tepia pairs cellular commands with Bluetooth at the gate, so residents still get in when the controller or the phone loses its connection.

Guest Passes

Residents create one time, recurring or time window passes that guests open with a QR code or link, and every pass expires on its own.

Full Audit Trail

Each command, credential and entry is logged with time, user and gate, so managers answer incident questions without pulling DVR footage.

The numbers matter.

Figures Tepia keeps in mind when scoping gate and access control apps.

23%

Association Residents

The Community Associations Institute counts 78.1 million Americans in community associations, close to one in four residents.

91%

Residents With Phones

Pew Research Center's 2025 survey found 91 percent of US adults own a smartphone, which makes the phone a natural credential.

4.5

Average App Rating

Tepia clients report their apps average 4.5 stars on the App Store and Google Play, where residents leave reviews about every gate.

What a gate and access app has to get right

Access control is a chain: a person, a credential, a decision and a physical action at a gate, door or barrier arm. The app sits in the middle of that chain. It must know who the person is, whether their credential is valid for this gate at this hour, and how to send the command to a controller that may be on cellular, Wi-Fi or nothing at all. Tepia starts every access project by drawing that chain for each site type you serve, because a gated neighborhood, a self storage facility and a truck yard make the decision differently.

Guests are the hard part. Residents want to let in a dog walker every weekday morning, a contractor for two weeks, a party of twenty on Saturday and a delivery driver once. Managers want each of those passes to expire, to be traceable to the resident who issued it, and to stop working the moment a resident moves out. Couriers and emergency services need their own paths that do not depend on a resident answering the phone.

Safety is not optional. Automatic gate operators are built to the UL 325 safety standard for entrapment protection, and an app must never bypass sensors or encourage someone to open a gate they cannot see. Tepia designs remote open features with clear warnings, optional proximity limits and logs, and leaves safety logic in the operator where it belongs.

Credential types and when to use them

Most sites end up with several credentials at once. Tepia helps you choose which ones the app issues and manages:

Credential How it works Best for Watch for
Phone app over cellular Command travels from the app to the cloud to the gate controller Remote opens for guests and deliveries Controller connectivity and latency
Phone app over Bluetooth App talks to a reader at the gate when in range Residents arriving daily, poor coverage sites Phone permissions and battery settings
QR or PIN guest pass Guest scans or enters a code at the call box Visitors, vendors and parties Pass sharing and expiry rules
License plate recognition Camera reads plates and checks the allow list Hands free resident entry Plate privacy and misreads in bad weather
RFID tags and cards Reader checks the tag against the controller list Legacy residents and fleet vehicles Lost tags that never get deactivated
Emergency access Key switches or siren sensors on the operator Fire, police and EMS Local fire code requirements

The app’s job is to manage all of these from one admin portal, so issuing a new resident’s tag, plate, app access and PIN happens in one step and revoking them happens in one step too. Our Bluetooth and BLE app development page covers the proximity side in more depth.

Hardware, cloud and property system integrations

Tepia builds access apps across three layers. On the device, the app handles login, credentials, Bluetooth and push notifications, usually in native Swift and Kotlin or React Native with native modules for Bluetooth. In the cloud, a backend on AWS or Azure holds sites, gates, users, schedules and logs, and sends signed, short lived commands. At the gate, controllers receive those commands over cellular or the site network and report status back.

  • Controller firmware and protocols from your hardware team, including relay outputs, Wiegand or OSDP readers and over the air updates.
  • Property management systems such as Yardi, RealPage or AppFolio, so move ins create access and move outs remove it.
  • Self storage management software, so a tenant who falls behind loses gate access automatically and regains it when the account is current.
  • Twilio for call box calls to residents’ phones and text guest passes.
  • Video systems that attach a snapshot to each entry when cameras are present.

Security gets the same weight as the user experience: device binding, rate limits on commands, encrypted traffic, role based admin rights and penetration testing before launch. Tepia’s IoT and connected device team handles provisioning so each controller is enrolled once and trusted from then on.

How Tepia approaches gate and access control apps

Tepia runs its six phase process with a US based project manager who coordinates your software, hardware and installer teams, so firmware and app releases line up.

  1. Discovery: site visits to representative gates, interviews with residents, property managers, installers and support staff, and a review of controller capabilities and existing apps. Deliverables are an Investigation Summary, an Interview Summary and User Stories such as a resident sending a one day pass to a contractor from the driveway.
  2. Design: a design questionnaire, moodboards, a style guide, and wireframes for the resident home screen, guest pass flow and the manager portal, tested with residents who are not technical.
  3. Development and Testing: an Alpha at a lab bench with real controllers and a Beta at live sites, with test plans for command latency, offline Bluetooth fallback, pass expiry, permission edge cases and security.
  4. Training: hands on sessions for property managers and installers, plus a support playbook built on scenarios like a resident locked out at night.
  5. Launch: import of sites, gates and residents from spreadsheets or the old system, a site by site transition, and support reps ready for the first weekend.
  6. Support: quick response on access failures, bug tracking, and feature requests such as new controller models or plate recognition.

Typically Discovery takes 1 to 3 months, development and QA 2 to 6 months, and launch about a month, with hardware schedules setting some milestones. Read more about our process.

Off the shelf access platforms or your own app

A property manager with a few gates can often use an access platform sold with the hardware, and Tepia will say so in Discovery. Building your own app makes sense when:

  • You manufacture gate operators, controllers or call boxes and want an app and portal under your own brand.
  • You are a dealer or installer managing hundreds of sites and need one portal across them.
  • Your sites mix gates, doors, amenities and elevators from different makers and need one resident credential.
  • Your access rules depend on account status in a property or storage system the platform does not support.
  • You need guest, courier and vendor workflows that the packaged app handles poorly.

Frequently asked questions

Who can design and build a custom gate access app from scratch?
Tepia designs and builds gate and access control apps for iOS, Android and the web, including the iOS app, Android app and admin portal for Maximum Controls. A US based project manager coordinates software and hardware teams from Discovery through Support.
Can residents open the gate if the controller loses its internet connection?
Yes, when the site has a Bluetooth reader. Tepia builds apps that send commands over cellular and fall back to Bluetooth at the gate, so residents in range still get in during an outage.
How do guest passes work in a gate access app?
Tepia builds passes that a resident creates for one visit, a recurring schedule or a date range. Guests open the gate with a QR code, PIN or link, and every pass expires automatically and stays in the log.
Can the app connect to Yardi or our self storage software?
Tepia integrates access apps with property and storage management systems through their APIs, so move ins grant access, move outs revoke it, and accounts that fall behind lose gate access until they are current.
How long does it take to build a gate and access control app?
Tepia typically spends 1 to 3 months in Discovery, 2 to 6 months in development and QA, and about a month on launch. Projects that include new controller firmware follow the hardware schedule as well.
