Employee Apps

Employee App Development

Tepia builds custom employee apps for frontline and deskless teams that put shift schedules, pay information, company news, policies and forms in one iOS and Android app. The app signs people in through Microsoft Entra ID or Okta and pulls data from HR, payroll and scheduling systems such as ADP, UKG and Workday.

The essentials at a glance

Employees without a desk or a company laptop still need their schedule, their pay and the news, and an employee app is often the only channel that reaches them.

Built For Shifts

Tepia designs for people who open the app on a break, so schedules, swaps and time off requests take two taps, not a login maze.

Many Languages

Content and forms support the languages your crews speak, with translations your team manages rather than strings hard coded in the app.

One Sign In

Single sign on runs through Entra ID or Okta, with a secure option for workers who have no corporate email, so nobody shares a password.

Personal Phones

Tepia supports personal phones without full device management, keeping company data inside the app and wiping it when someone leaves.

The numbers matter.

Workforce figures Tepia plans around when scoping an employee app.

80%

Deskless Workforce

Emergence Capital research estimates about 80 percent of the global workforce is deskless, working away from a computer most of the day.

20%

Engaged Employees

Gallup's 2026 State of the Global Workplace report puts the share of engaged employees worldwide at only about 20 percent.

4.5

Average App Rating

Tepia clients report apps averaging 4.5 stars on the App Store and Google Play, a sign people keep opening them after launch.

Who an employee app is really for

Office staff already have email, Teams and an intranet. The people an employee app serves are the ones those tools miss: nurses and patient transporters, warehouse pickers, retail associates, hotel housekeepers, restaurant crews, drivers and field technicians. Today they learn about schedule changes from a group text, find policy updates on a breakroom board, and call HR to ask where their pay stub is.

Tepia builds employee apps around the realities of that work. Many frontline workers have no corporate email address, so sign in cannot depend on one. Some share a device at a station or kiosk. Shift times change weekly, and a missed notice means a missed shift. Unionized sites may need specific notices posted and acknowledged. Multi site companies need news targeted by location and role, so a distribution center in Kansas City does not get the Tampa store’s parking update.

The goal is not another app to ignore. It is one trusted place where an employee checks their next shift, swaps it, sees what changed this week and gets answers, all in the time it takes to finish a coffee.

Modules in a frontline employee app

Tepia scopes modules from the questions employees ask most, then connects each one to the system that already owns the data, so HR and operations teams do not maintain information twice.

Module What employees do System it connects to
Schedule and shift swaps See upcoming shifts, offer or pick up shifts, get alerts on changes UKG, Deputy, When I Work or a custom scheduler
Pay and tax documents View pay stubs and W-2 forms, update direct deposit ADP, Paylocity, Paycom or Workday
Time off Request leave and see balances and approvals HRIS such as Workday or BambooHR
News and acknowledgments Read targeted updates and confirm required notices Content admin built into the app
Forms and incident reports Report a safety issue or damaged equipment with photos Safety or facilities system, or email routing
Directory and contacts Find a supervisor or the right HR contact by location Microsoft Entra ID or the HRIS
Recognition Give and receive shout outs tied to company values App database, with export to HR
Training Complete short lessons and see certifications due LMS such as Cornerstone or a custom library

Most companies launch with three or four modules and add the rest once usage is steady. New hire tasks usually belong in a dedicated flow, covered on our employee onboarding app page.

Security, identity and devices

An employee app holds pay data, home addresses and internal communications, so Tepia designs security in from the first wireframe.

  • Identity: single sign on through Microsoft Entra ID or Okta for employees with directory accounts, and phone number or employee ID verification for those without, tied to HR records so only current staff get in.
  • Offboarding: SCIM provisioning or an HR system event revokes access the moment someone is terminated, without waiting for a manual ticket.
  • Personal devices: app level protection, such as Microsoft Intune app protection policies, keeps company data inside the app on personal phones without enrolling the whole device.
  • Shared devices: fast user switching and automatic sign out for kiosks and station tablets. See rugged device and MDM ready apps.
  • Accessibility: screens built to WCAG 2.1 AA, with large tap targets for gloved hands and support for screen readers and larger text.

Tepia also builds offline caching for schedules and key documents, because basements, freezers and remote sites often lack signal.

Getting employees to keep using it

Launch day downloads are easy. Weekly use six months later is what makes an employee app worth having, and Tepia treats that as an engineering problem, the same way we approach apps engineered for retention in consumer products.

Three practices matter most. First, notifications must be earned: targeted by site, team and role, never a company wide blast for a local update, so people do not mute the app. Second, the first screen should answer the most common question, which is usually the next shift, without any tapping. Third, content needs an owner. Tepia builds a simple publishing tool for HR and site managers with scheduling, targeting and read receipts, so the feed stays current. Our push notification work goes deeper on timing and targeting.

Tepia instruments the app from day one with weekly active users by site, notification open rates and module usage, so you can see which locations adopted it and which need a manager nudge.

How Tepia approaches employee app development

Tepia runs its six phase process with a US based project manager and design leadership involved from the first site visit.

  1. Discovery: visits or video walkthroughs at representative sites, interviews with frontline staff, supervisors, HR and IT, and a review of HRIS, payroll and scheduling APIs. Deliverables are an Investigation Summary, an Interview Summary and User Stories such as a picker swapping a Saturday shift from the breakroom.
  2. Design: a design questionnaire, moodboards and a style guide matched to your brand, with wireframes tested on older phones and in bright light.
  3. Development and Testing: an Alpha at one site and a Beta across several, with test plans for sign in edge cases, offline use and accessibility.
  4. Training: short sessions for site managers on publishing and for HR on administration.
  5. Launch: App Store and Google Play release or private distribution, QR code posters for sign up, and support reps on hand during rollout.
  6. Support: issue resolution, bug tracking and new modules as needs grow.

Typically Discovery takes 1 to 3 months, development and QA 2 to 6 months, and launch about a month. See our work or talk to Tepia about your workforce.

Frequently asked questions

Who can build a custom app for our frontline employees?
Tepia builds custom iOS and Android employee apps for frontline teams in healthcare, logistics, retail, hospitality and field service. Apps connect to HR, payroll and scheduling systems such as Workday, ADP and UKG, and a US based project manager leads the project.
Can employees use the app on their personal phones?
Yes. Tepia uses app level protection so company data stays inside the app on personal phones without enrolling the whole device, and access is revoked automatically when someone leaves. Shared kiosks and company devices are supported too.
Can the app show pay stubs and schedules from our HR and payroll systems?
Tepia connects the app to payroll providers such as ADP or Paylocity for pay stubs and to scheduling systems such as UKG or Deputy for shifts. Data stays owned by those systems, and the app reads it on demand with the employee’s own permissions.
How do we sign in workers who do not have a company email?
Tepia offers sign in by verified phone number or employee ID matched against HR records, alongside single sign on through Entra ID or Okta for staff with directory accounts. Both paths end in the same secure session and the same offboarding rules.
Should we buy an employee communication platform or build our own app?
Tepia recommends a packaged platform when you mainly need news and chat. A custom app fits when you need schedules, pay, forms and workflows from your own systems in one place, specific security rules, or a branded experience that reflects how your company operates.
