Twilio Integration

Twilio SMS and Voice Integration

Tepia builds Twilio SMS and voice integrations that connect texting, calls and verification codes to your CRM, scheduling, dispatch and support systems. Projects include A2P 10DLC or toll free registration, opt out and consent handling, and status callbacks that log every message and call against the right customer record.

The essentials at a glance

Texts and calls only help when real events trigger them and the results land back in the system your team works from.

Delivery Tracking

Tepia captures Twilio status callbacks, so failed or filtered texts surface for follow up instead of vanishing silently.

The numbers matter.

Messaging limits and reach figures Tepia plans around in Twilio projects.

153

Long Message Segments

Twilio documents that a long GSM 7 message is split into segments of 153 characters each, not the 160 a single text holds.

70

Unicode Segment Size

Twilio notes that one emoji or other non GSM character switches a text to UCS 2 encoding, cutting each segment to 70 characters.

98%

Adults With Cellphones

Pew Research Center reports 98 percent of US adults own a cellphone, which makes SMS one of the most reachable channels.

What businesses connect Twilio to

Twilio provides phone numbers, carrier connections and APIs. It does not provide the logic that decides who gets which message, when, and what happens after they reply. That logic lives in your systems, and connecting the two is the work Tepia does. Common examples include:

  • Appointment reminders triggered by your scheduling system, with confirm and reschedule replies written back to the calendar.
  • On the way texts sent when a technician or driver starts a route in your dispatch app.
  • Two way texting between staff and customers, threaded and logged in Salesforce, HubSpot or your own CRM.
  • Verification codes for sign in and phone number changes.
  • Phone menus that route callers by account, language or business hours, with voicemails transcribed into tickets.
  • Masked numbers so customers and drivers or providers can talk without sharing personal phone numbers.

Most clients start with one of these and add the rest over time, which is why Tepia designs the messaging layer for several triggers from the beginning.

Twilio products and what Tepia builds around them

Need Twilio product What Tepia builds around it
Reminders and alerts Programmable Messaging with Messaging Services Triggers from your systems, templates, quiet hours by recipient time zone, status tracking
Sign in and phone verification Verify Verification flows with rate limits and fallback from SMS to voice
Two way customer conversations Conversations A shared inbox in your app or CRM with assignment and history
Phone menus and call routing Programmable Voice with TwiML IVR logic tied to customer lookups, business hours and voicemail to ticket
Number validation Lookup Line type and format checks before a number is saved
Contact center Flex Agent screens that show the caller’s orders, jobs or account
Email alongside SMS SendGrid One notification service that picks the channel per customer preference

Tepia keeps all of these behind a single notification service in your backend, so features simply ask to notify a customer and the service decides the channel, template and timing.

Registration, consent and deliverability

US carriers now expect application to person messaging to be registered, and unregistered business texts are increasingly filtered or blocked. Tepia handles A2P 10DLC brand and campaign registration through Twilio for local numbers, toll free verification when that suits your volume, and short codes for high volume programs. Campaign descriptions and sample messages must match what you actually send, so we write them from your real templates.

Consent needs the same care. Tepia stores each opt in with its time, source and wording, honors STOP, HELP and similar keywords across every number you use, and blocks sends to anyone who opted out. Message length matters too: a single emoji switches a text to Unicode encoding and cuts the characters per segment by more than half, so templates are checked before they go live. Twilio error codes such as 30007, which marks a message filtered by the carrier, are tracked and reviewed rather than ignored.

Building the integration so messages do not get lost

Twilio reports what happened to each message and call through webhooks. Tepia validates the Twilio signature on every incoming request, responds quickly and does the real work from a queue, the same pattern described on our webhook and event integration page. Each message ID is stored with the customer record, so a delivery status, reply or call recording always finds its way to the right place.

Phone numbers are normalized to E.164 format on entry, which prevents duplicate contacts and failed sends. Inbound replies are matched to the conversation by number and context, then pushed to the CRM through the patterns on our CRM integration and automation page. For multi tenant products, Tepia uses Twilio subaccounts so each of your customers has separate numbers, usage and logs.

Voice calls get the same treatment. Call status, duration and recording links come back through status callbacks and are stored against the customer, recordings follow your retention policy, and Tepia plays a consent announcement where state law requires every party to agree to recording.

How Tepia approaches Twilio integration

  1. Discovery: a map of every message and call your business sends or receives, the systems that trigger them, current numbers and registration status. Deliverables are an Investigation Summary, an Interview Summary and User Stories such as a dispatcher texting a customer from the job screen.
  2. Design: message templates, an IVR call flow diagram, a design questionnaire and style guide, and wireframes for the inbox, opt out management and delivery reports.
  3. Development and Testing: an Alpha using Twilio test credentials and internal numbers, then a Beta with a small customer group, with test plans for opt outs, quiet hours, failed deliveries, call routing and user acceptance.
  4. Training: sessions for staff who text customers or answer routed calls, and for admins who edit templates and menus.
  5. Launch: registration approval, porting existing numbers into Twilio when needed, and a staged switch from the old texting tool.
  6. Support: issue resolution, carrier rule changes, deliverability reviews and feature requests such as a new reminder type.

Typically Discovery takes 1 to 3 months, development and QA 2 to 6 months, and launch about a month, with registration filed early so approval does not hold up launch. See our process.

Twilio directly or a packaged texting tool

If you need a shared inbox for a small team and reminders from one scheduling system, the texting features inside your CRM, field service platform or a packaged business texting app may be all you need. Tepia will tell you so.

Building directly on Twilio makes sense when messaging is part of your own product, when triggers come from several systems, when you need your own consent records and reporting, or when each of your customers needs its own numbers inside your platform. Voice projects that add AI call handling build on the same foundation, covered on our AI voice agent development page. Talk to Tepia about the messages and calls you want connected.

Frequently asked questions

Who can integrate Twilio SMS with our CRM?
Tepia integrates Twilio messaging and voice with Salesforce, HubSpot and custom CRMs, so texts, calls and recordings log against the right customer record. A US based project manager leads the project from Discovery through Support.
Do we need A2P 10DLC registration to text customers?
If you send business texts from standard US local numbers, carriers expect A2P 10DLC brand and campaign registration. Tepia handles the registration through Twilio and writes campaign descriptions that match your real messages, or sets up toll free verification when that fits better.
How do you handle customers who reply STOP?
Tepia records every opt out with its time and number, applies it across all numbers you send from, and blocks future sends to that person. Opt ins are stored with their source so you can show consent if asked.
Can you build a phone menu that routes calls based on the customer?
Yes. Tepia builds IVR flows with Programmable Voice and TwiML that look up the caller in your CRM or database and route by account, language or business hours, with voicemail transcribed into a ticket.
Why are some of our business texts not being delivered?
Common causes are unregistered numbers, content that carriers filter, and messages to landlines or opted out contacts. Tepia tracks Twilio status callbacks and error codes such as 30007 so filtered messages are visible and the cause can be fixed.
