Model Real Things
Tepia designs custom objects for what you actually manage, such as units, policies, enrollments or installed equipment, not just extra deal fields.
Read: HubSpot vs Custom CRMTepia builds HubSpot integrations and custom objects for companies whose business no longer fits contacts, companies and deals. Typical work includes custom object schemas with association labels, UI extension cards that show ERP or product data on a record, and two way sync with NetSuite, QuickBooks or Stripe through private apps and webhooks.
HubSpot stays useful long after a team outgrows its default objects, as long as someone models the business properly underneath it.

Figures Tepia keeps in mind when connecting HubSpot to the rest of a growing business.
MuleSoft's 2025 Connectivity Benchmark found 95 percent of IT leaders struggle to integrate data across their systems.
Salesforce research found nearly 70 percent of sales reps feel overwhelmed by the number of tools they use, a case for one CRM view.
Tepia clients report about 90 percent customer retention, which depends on reps and admins trusting the data they see in HubSpot.
HubSpot ships with contacts, companies, deals and tickets. That covers a lot of businesses, and plenty of teams never need more. The strain shows when the thing you actually manage is not a deal. A property group tracks units and leases. A training company tracks cohorts and enrollments. An equipment maker tracks serial numbers installed at customer sites and the service history of each one.
Without a proper model, teams improvise. Deal properties named Unit 1 through Unit 12, a second pipeline used as a database, notes fields holding JSON, and a spreadsheet that ops exports every Monday to answer questions HubSpot should answer itself. Reports break because the same fact lives in three places. Tepia sees this pattern in most HubSpot discovery calls, and the fix usually starts with the data model rather than new software.
The question to settle early is whether HubSpot should remain your CRM with a better structure underneath, or whether the operation has grown into something that belongs in a custom CRM. Tepia answers that in Discovery, with your record counts and workflows in front of us.
HubSpot’s developer platform has grown well beyond the contacts API. Tepia matches each business need to the right building block instead of forcing everything through one sync job.
| Business need | HubSpot building block | What Tepia delivers |
|---|---|---|
| Track things that are not contacts or deals | Custom objects (Enterprise tiers) | Object schema, required properties, naming rules and a migration from old workaround fields |
| Show how records relate, with roles | Association labels | Labels such as decision maker, billing contact or installer, applied consistently by sync and by users |
| See outside data on a record | UI extensions and app cards | A card showing ERP orders, subscription status or product usage, built with React inside a HubSpot project |
| Run logic workflows cannot express | Custom coded workflow actions | Node.js actions for territory routing, enrichment or scoring, with logging |
| Record activity from your own product | Timeline events | Events such as trial started or report exported, visible on the contact timeline |
| React to changes elsewhere | Webhooks and private apps | A receiver service on AWS or Azure that is safe to call twice |
Because a webhook can arrive more than once, Tepia builds receivers that recognize a repeat delivery and do not create a second order or ticket. More on this in our webhook and event integration work.
Marketing and sales teams want to see what a customer bought, owes and uses without leaving HubSpot. Finance wants closed deals to land in the ERP with the right terms. Tepia builds those connections with explicit rules about which side owns each field.
Every sync also needs a matching rule. HubSpot deduplicates contacts by email and companies by domain, but your ERP may key customers by account number and allow two branches with the same domain. Tepia stores the external ID on both sides and resolves edge cases, such as a parent company with regional subsidiaries, before the first record moves.
Speed is the other point. Harvard Business Review research on online sales leads found that most companies do not respond nearly fast enough, and Tepia routinely builds routing that assigns a hot lead in seconds rather than at the next batch run. For broader patterns, see how to connect a CRM and ERP.
Tepia applies its six phase process to HubSpot work, with a US based project manager accountable from kickoff to support.
Typically Discovery runs 1 to 3 months and development with QA 2 to 6 months, followed by roughly a month for launch. Read more about our process.
Tepia gives you a straight answer here, because the wrong move wastes a year.
Whichever path you choose, Tepia documents the object model, sync rules and workflow logic so your admin can run the portal without us, and so a future migration starts from a clean map instead of guesswork.
