Tepia's assistants never invent availability: every time offered comes from your scheduling engine, held briefly while the customer confirms.
Read: Scheduling Software DevelopmentTepia builds AI scheduling assistants that understand booking requests in plain language over chat, SMS or voice and book only real, open slots returned by your scheduling engine. Builds connect Google Calendar, Microsoft 365, practice management systems through FHIR and field service platforms, with confirmations and reminders through Twilio.
The language model interprets what the customer wants, and your scheduling rules decide what is actually available; Tepia keeps those two jobs separate.

Figures Tepia plans around when scoping AI scheduling work.
Pew Research Center reports about 90 percent of US adults own a smartphone, so texting to book is now a default expectation.
Gartner predicted more than 80 percent of enterprises would use generative AI APIs or deploy generative AI apps by 2026.
Tepia clients report apps averaging 4.5 stars on the App Store and Google Play, and booking flows drive many of those reviews.
Booking an appointment sounds simple until you list the rules. A physical therapy clinic needs a longer first visit, a therapist licensed for that treatment, an open treatment room and a gap before the next patient. A home services company needs a technician with the right skills, enough travel time from the previous job and an arrival window inside the customer’s service area. A salon needs the requested stylist, the right chair and processing time for color that overlaps the next client.
A language model on its own will happily offer Tuesday at 3 when no such slot exists. That is why Tepia never lets the model decide availability. The assistant’s job is to understand the request, ask for what is missing, and present options; the scheduling engine’s job is to say which options are real.
Tepia usually adds this to software clients already run: a clinic’s patient app, a home services company’s customer portal, or a multi location studio’s booking page. The existing calendar or scheduling system stays the source of truth, and the assistant becomes a new, friendlier front door to it.
People rarely ask for a slot in the format a booking form expects. Tepia builds and tests against requests like these, collected from your call notes and message history:
| What the customer says | What Tepia’s system does |
|---|---|
| Can I come in sometime next week after work | Reads it as weekdays after 5 pm in the customer’s time zone, queries the engine and offers three real times |
| Move my Thursday appointment to the same time next week | Finds the existing booking, checks your reschedule window and rebooks if the slot is open |
| My AC is blowing warm air, can someone come out | Maps the problem to a service type and duration, confirms the address is in your area, offers arrival windows |
| Book me with Dr. Lee, or whoever is free first | Searches the named provider, then any qualified provider, and labels which is which |
| Same as last time for both kids | Reads visit history, finds back to back slots for two patients and confirms each |
| I need to cancel tomorrow | Applies your cancellation policy, cancels, and offers the waitlist the freed slot |
Time zones and daylight saving changes get special attention, because a booking that is right on screen and an hour off in the calendar invite destroys trust quickly.
Tepia’s architecture separates conversation from booking so that each can be tested on its own.
Because booking logic is ordinary code, Tepia covers it with automated tests for every rule. The conversational layer is tested separately against a library of real phrasings. See scheduling software development if your availability rules need a new engine.
Tepia connects the assistant to wherever your schedule actually lives:
For phone bookings Tepia pairs the same backend with a voice interface, so the rules a caller hears match those a texter sees. For dispatch heavy businesses, AI dispatch for field service covers technician assignment, and medical appointment scheduling apps covers clinic specifics.
Tepia runs its six phase process with your front desk or dispatch team as primary users, led by a US based project manager.
Typically Discovery takes 1 to 3 months and development and QA 2 to 6 months. More on our process.
If most of your customers already book through an online widget without trouble, an AI assistant adds little, and Tepia will say so. It earns its place when:
Tepia measures success by bookings completed without staff involvement, slots refilled from the waitlist and staff corrections per hundred bookings. Learn about voice booking on our AI voice agent page and talk to Tepia about your scheduling rules.
